What personal data we collect and why we collect it

Registration forms

Through registration forms the personal data of participants and leaders will be collected so that the camp is manageable. The data is needed so that the well-being and the security of the participants can be ensured. The data is confidential and will be handled in a way the European privacy policy regulation (EU 2016/679) demands.

Pictures

By accepting the terms of privacy you allow the use of the pictures that are taken on the camp. The pictures of the camp will be used for Royal Rangers Europe communications exclusively in a respectful manner.

On the website

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Who we share your data with

We do not share your data for outsiders. Only in terms of camp management will the Eurocamp team and the camp office have access to the data.

How long we retain your data

We will save the registration data twelve months after the camp, because of association rules. The data will be retained in a folder locked with a password, to which only specific and reliable persons have access.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

At any time you have the right to ask to see your data. You will be provided a document that includes all of the data about you. Before the camp, the data can not be deleted, but after that it will be deleted as previously explained.

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where we send your data

The registration data of the participants will be send outside of Eurocamp team only for the camp office and partly also to the first aid for security reasons and organizationals reasons – for example: information about food allergies are needed so that the correct food can be provided. All the persons who have  access to the data are part of the camp staff.

Your contact information

Your contact information will be used in the cases you need to be contacted in terms of the camp.

If you email us, we will have the email address inside of the email, but It will not be used for anything other than answering you.

How we protect your data

Your data will be well and securely restored without giving it to the third parties.

The manual data will be in a locked place, where only the relevant persons have access to it. The digital data will be password protected,so that only the relevant people have access to it.

What third parties we receive data from

We do not receive the data from any third parties.
